No problem when looking for a well known person or a celeb they work out how many hours days they are not available to work or away from home.
So working it out 10 rehearsals @ say 4 hours each
2 shows but need to be in building 8 hours
1 press day allowing up to 8 hours
8 hours to learn lines =64 hours then work out hourly rate based on your offer of £4000 = £62.50 an hour which for you and me is good money per hour but for a well known person or a celeb sadly is not enough to get them interested. There are loads of people who will possibly work for that money former actors maybe some old EastEnders or Coronation street or reality former names it might be best to see who has worked pantomime in the last few years then approach their managements.
Frank usually asks for a deposit this is somewhere between 40 -60% and the rest paid after the appearance of event. Most agents work this way but I obviously can't answer for them.

Just out of curiosity as this is the first time for us hiring someone could I please ask a professional question for advice if that’s ok?
How are the fees all broken down and is it usual to pay all the money up front before the event?

Its 10 rehearsals plus the 2 shows so £25,000 Which would not be cost effective if you had 5-10 shows although it would go up a bit it wouldn’t be the need for so many rehearsals but that would then be more cost-effective. You have not allowed for any press calls which if Frank was in the performance I’m sure you would get enquiries from both TV radio and newspapers

Thanks for your invitation sadly the fee being offered is not of interest but we thank you for the invitation
I am writing with regard to an upcoming theatre show at the Princes Theatre, Clacton on Sea, on Saturday 25th July 2020, and would like to enquire about hiring you for two performances on the day, in addition to a meet and greet after each show.
We are a non-profit youth theatre company, so require a celebrity who is comfortable with working with our talented group of children aged from 10-16.
Any information you could provide in relation to the details below would be appreciated, in addition to costing and terms if possible.
The exact requirements of our show and other information you may deem pertinent are as follows:
Show date: 25th July 2020 (Both 1pm Matinee and 6pm Evening shows)
Show title and Running time: Happily Ever After (90 mins)
Cast size: 18 children, 1 adult (to be hired). Professional dance school performing additional background dances.
Venue: Princes Theatre, Clacton on Sea, Essex (800 seat capacity)
Previous show performance: Alice in Wonderland 517 seats sold.
Show synopsis: A mix and match of the Brothers Grimm fairy tales, featuring Cinderella, Rumplestiltskin, The Pied Piper, Rapunzel, The Evil Queen and others. Clean and fun family entertainment.
Character: The evil queen’s sidekick, who is responsible for sourcing magical items from those characters listed above.
Participation requirement: 80-120 lines maximum, 6-8 scenes
Rehearsals: Minimum of two rehearsals, tech and dress rehearsals the Thursday and Friday before the show.*. At the theatre plus an Additional 4 rehearsals at our Frinton on Sea (desirable but not a necessity)
Script availability: Script to be available Mid February (the lines for this particular character will be written specifically to fit the celebrity by a professional script writer with TV and theatre credits).
Flexibility: Depending on the celebrity hired, we are happy to work with them to incorporate their own ideas into the script, maximising the effectiveness of the talent on offer.
Budget: we have a budget if £3500 including VAT. (Negotiable)
Payment: a deposit of 20% on date of hire, the remaining payment will be paid after the show and a contract signed confirming this with a payment by date.
*A month or so prior to the show date, we will also provide a video of the necessary scenes with a stand in actor, in order for the celebrity to get up to speed with the performance and gauge timing.
Thank you in anticipation for any information you can provide. We’re looking to take our shows to that ‘next level’ and sincerely hope that you can help us take that step. I need to have an answer by 1st Feb if possible.
